On Friday (December 30, 2022), Gerald, a third-year computer science student at STEI ITB, presented his internship project at Bukit Vista. After studying the fundamentals of computer science for the past two years, he developed an interest in back-end engineering. He is here to explain more about the back-end project he is working on at Bukit Vista.<\/p>\n

Background to Operations at Bukit Vista<\/span><\/h3>\n

As a leading company in\u00a0<\/span>hospitality services<\/span><\/a>\u00a0, Bukit Vista operational team works 7 days a week to provide the best experience for guests.\u00a0<\/span>Their work doesn't end when guests book accommodation, but continues even after they leave. During their stay, guests will often ask for assistance with any issues, inconveniences, or other requests such as transportation, tickets, cleaning, etc.<\/p>\n

The Bukit Vista hosting team handles numerous requests each day, each from different guests, at different times, at different properties, with varying purposes and conditions. With limited team members, managing up to 50 guests checking in daily can be challenging, as the operations team works in a fast-paced environment to ensure guest satisfaction and quick response times to their inquiries.<\/p>\n<\/div>\n<\/div>\n<\/div>\n

Transport requests integration with slack<\/h3>\n
\n

One of the most common requests the operations team handles on a daily basis is guest transportation requests.\u00a0Bukit Vista can help arrange transportation from the airport to their accommodation and vice versa, and also pick-up services from anywhere to assist our guests with transportation needs by contacting partner drivers and seeing if they can provide services for the guests.<\/span><\/p>\n

It may sound simple at first, but there are actually many steps involved in arranging a transportation service. The first step is filling in guest details such as drop-off location, arrival\/pick-up times, number of guests, and more.\u00a0After that, the operations team has to negotiate the price with the driver, or cross-reference several tables on different platforms to find the right price.\u00a0<\/span>Finally, the operations team waits for confirmation from our partner drivers to see if they can accept the order. The process is illustrated in the image below.<\/p>\n<\/div>\n<\/div>\n<\/div>\n

As you can see, it's a lot of work just to handle one request, imagine doing this multiple times a day while also dealing with other types of requests and issues our guests experience.<\/p>\n

Penerapan<\/h3>\n
Fortunately, internal systems and platforms are now integrated to handle transportation requests, reducing the workload on the operations team. Using JavaScript and the Slack API Service on the backend of the Bukit Vista platform, guests can now submit requests by filling in their details, and the operations team will be notified via Slack so they can confirm with the driver. There's no longer a need to cross-reference multiple platforms for pricing, as prices are automatically set through the Bukit Vista database while guests fill in their details. You can see the new transportation request flow in the image below.<\/div>\n

Hasil & Dampak<\/h3>\n
The new features in the guest portal have significantly reduced the workload on our hosting team, processes that were previously tedious to complete can now be completed in minutes as it only takes a few steps to do so.\u00a0<\/span>Below are the results that the Bukit Vista team and guests can use to make transportation requests during their stay at Bukit Vista.<\/div>\n

In the first image, you can see the guest portal website that guests can use to book their own transportation. In addition to reducing the workload of the operational team, utilizing the guest portal also reduces the possibility of incorrect filling, because it will be the guest who makes the request.\u00a0<\/span>The second image shows what the operations team will see every day when there is a transportation request, as you can see there is a formatted message in the ‘detail’ section, the operations team can directly forward it to our partner drivers in order to confirm with them.<\/span><\/div>\n<\/div>\n<\/div>\n

As you can see from the image above, Gerald's tools can be implemented and help guests have a much smoother process from booking a place to arriving at their accommodation.<\/p>\n
